Compare retrieval, offline access and export before moving your archive.
Describe your smallest useful note
A shopping reminder, a meeting record and a research notebook are not interchangeable. Before comparing products, write one example of the note you create most often. Include its title, the information inside it and how you expect to find it a month later. That example becomes a repeatable trial task rather than a vague impression of which interface feels more powerful.
For quick capture, count the steps between unlocking your phone and saving a sentence. For project records, test headings, attachments and links. For research, check whether your references remain understandable outside the app. Do not migrate an archive merely because a template gallery looks impressive.
Try a five-note sample
Create a short checklist, a meeting note, a photo with a caption, a long passage with headings and a note containing a link. Use invented names and harmless files. Give two notes deliberately similar titles. The next day, search for a phrase from the body rather than the title and see whether you can identify the right result.
If you need more than one device, edit one sample on each device and confirm which copy is current. If you need offline work, disconnect after preparing the sample and try reading and editing it. Reconnect and inspect the result. Do not assume a note visible in a recent-items list has actually been saved for offline use.
Test the exit before the import
Export those five notes using the current product instructions. Open the exported material in another suitable application. Check the actual result: headings, checkboxes, attached images and internal links may not travel together. A file existing on disk is not enough if the important contents cannot be read.
Write a three-column record: content preserved, content changed, content missing. If your meeting records depend on attachments, an export that preserves text but drops files fails your requirement. Keep the sample export as a reference. Repeat the check when a major app change affects how your archive is stored.
Choose fewer features with clearer ownership
A single-user notebook can be simpler than a shared workspace. A team workspace may be worth its setup cost when permissions and collaboration are essential. Use the comparison workspace to place the existing profiles side by side; it intentionally does not turn unrelated store ratings into a winner.
An exit plan should name the export format, the backup location and the person responsible for checking it. That small decision can matter more than another formatting feature. Follow the official product help for the exact controls on your device.
